RESPONSIBILITIES
1. Assists CEO to manage his calendar and schedule appointments, meetings, events, and prepares necessary materials for such engagements.
2. Make travel and accommodation arrangements for CEO.
3. Assist CEO in daily business operation approval processes (incl. sorting out various approval applications, documentations, processes etc.)
4. Take minutes during meetings chaired by CEO.
5. Assists CEO in communicating and coordinating with various departments on designated tasks.
6. Assist CEO to prepare suitable information for internal and external communication – memos, emails, presentations, reports on designated tasks.
7. Manages CEO office supplies, ensures their availability, and oversees maintenance of office equipment.
8. Screen and direct phone calls and distribute correspondence.
9. Organize and maintain the office filing system.
10. Manage CEO’s expense claim process.
REQUIREMENTS
1. Prior experience as an Executive Assistant, Executive Secretary in multi-national companies is preferred.
2. Strong time management and multi-tasking skills.
3. Strong organizational, communication, and interpersonal skills.
4. Demonstrate high level of professionalism, discretion, confidentiality, responsiveness, customer-focused attitude. Good learning agility is preferred.
5. Mature, detail-oriented, self-motivated and able to work under pressure.
6. Excellent MS Office knowledge.
7. Fluent in English, both written and spoken.
